Editing and Proofreading Services Explained

1. Structural editing ( also known as “substantive” editing, this checks content, structure, flow, style, clarity, consistency, plot elements etc.)

A structural edit concentrates on the flow, style, logic and consistency of the document. Is it easy to understand and use? Does it make sense? Is it accessible to the reader? A structural edit will involve reviewing of the content, structure, language and style. In order to achieve clarity and accessibility to the reader, it may therefore involve some rewording and restructuring.

It will include an overall review of the document to establish whether the document fulfills its purpose; whether there is a need for additional material such as a glossary, illustrations, map or index; and whether the document is user-friendly and easy to navigate. This is also the time to analyse whether the structure itself is functional or whether the content needs rearranging into more logical order or into another form such as a table or illustration.

If it’s a work of fiction, plot elements will be checked to make sure everything is consistent – including character behaviour and appearance, tracking for plot holes etc. In a work of non-fiction or corporate documents, the same concepts apply: we will check to make sure that all theories and concepts remain sound and consistent throughout the work, that any formula or quotes or similar are reproduced the same way each time; that no material seems to be missing etc.

2. Copy editing (this checks accuracy and consistency of the overall publication as well as that of language, spelling, grammar, punctuation, sentence construction, vocabulary, tense etc.)

Copy editing focuses more on removing mistakes, errors and inconsistencies from the document. It looks closely at the details of language, spelling and punctuation and consistency of style in terms of both language and layout. Text will be checked for house style. Sources and references will be checked. Where appropriate, facts will be checked and/or queried. Lists, illustrations, glossaries, contents etc. will all be checked for missing or incorrect entries.

This is a much more detailed edit to ensure everything is as it should be; for example, ensuring characters’ appearances are consistent throughout the work; making sure that actions have consequences (ie: if a character closes a door, they must then open it in order to leave the room again, and so on). Often a second, lower-level check of structural elements is done again at this stage ie: character consistency, plot elements, document flow and so on.

Because the manuscript or document may have undergone major rewrites following the initial structural edit, the editor may double-check these elements during the copy editing process. Alternatively, the document may have come to the copy edit stage straight from draft, by-passing the structural edit altogether. 3. Proofreading (this is the last read-through and check to ensure the final manuscript is ready for publication/presentation/distribution.)

Manuscript Editing – Hints

Most writers do a poor job editing themselves, even if they are excellent editors when working on other people’s work.

All manuscript editing should be done on double spaced paper, with a red pen, even if the editor will be entering those changes into the manuscript using a ‘track changes option’.

A copy-edit is basically editing your work for grammar, style, punctuation and clarity. While a copy editor or a proofreader can do their work one sentence at a time, a hard editor should read the whole book through once before trying to edit it.

It is important to note that manuscript editing isn’t a substitute for proofreading on a finished copy. Proofreading is the final stage where any ‘typos’ are noted and corrected before publishing.

Most people will realize in the wink of an eye what this sentence is saying: I don’t know why but I have no problem understanding this sentence.

That is what makes the task of self-editing your work so difficult. As you scan over something that you have written, you tend to miss mistakes that you may have made. You simply read what is not there because the brain expects it to be there.

How do you deliver work that is as free from mistakes as you can possibly get it?

There are some techniques that you may use.

* The first is to read it out loud. In that way you do not rely on the eye alone to send information to the brain. The ear also kicks in. This is very helpful in identifying awkward sentence construction.

* Some people use a technique called read in reverse. You start at the end of the sentence and read word for word backwards. This is a way of taking the brain’s tendency to correct out of the equation. The technique is especially useful for finding spelling mistakes.

* A common mistake writers make is to finish writing and then immediately go through the work to make sure everything is right. The information is just too fresh in your mind. Where possible wait a day or two before you edit your own work.

* A very helpful tip many established writers will give you is to cut and not to add. As their writing flows along, most writers tend to drone on a bit. When editing your work, be on the lookout for unnecessary sentences and words. Do not hesitate to take them out.

* We live in the 21st century and we should use the tools available to us. Using an effective voice recognition software is a way of catching mistakes while you are “writing”, especially for those of us who are not 10 finger typists. As you talk, the words appear on the screen which makes it easier to spot mistakes. The really good programs on the market have an amazing degree of accuracy.

Editing is an art relying on another art: the one to realize that you are not perfect and that your writing is not perfect. When editing, be ruthless. Criticize yourself. If you have made a mistake, admit it and correct it.
