Editing and Proofreading Services Explained

1. Structural editing (or “substantive” editing, checks the content, structure, flow, style, clarity, consistency, plot elements etc.)

A structural edit concentrates on the document’s flow, style, logic and consistency. Is it easy to understand and use? Do you think it makes sense? Is it accessible to the reader? A structural edit will review the content, structure, language and style. To achieve clarity and accessibility to the reader, it may therefore involve some rewording and restructuring.

It will include an overall review of the document to establish whether it fulfils its purpose, whether there is a need for additional material such as a glossary, illustrations, map or index, and whether the document is user-friendly and easy to navigate. In addition, it is time to analyse if the structure is functional or whether the text needs rearranging into a more logical order or another form, such as a table or illustration.

If it’s a work of fiction, we will check plot elements to ensure everything is consistent – including character behaviour and appearance, tracking for plot holes etc. In non-fiction or corporate documents, the same concepts apply: we will check to ensure that all theories and concepts remain sound and consistent throughout the work. Any formula, quotes, or similar are reproduced the same way each time; no material seems missing.

2. Copy editing (this checks the accuracy and consistency of the overall publication and language, spelling, grammar, punctuation, sentence construction, vocabulary, tense etc.)

Copy editing focuses more on removing mistakes, errors and inconsistencies from the document. It looks closely at the details of language, spelling and punctuation, and language and layout style consistency. We will check the text for style. Sources and references will be reviewed. Where appropriate, we can verify the facts and ask them. Lists, illustrations, glossaries, contents etc., will all be checked for missing or incorrect entries.

Copy editing is much more detailed to ensure everything is as it should be. For example, ensuring characters’ appearances are consistent throughout the work ensures actions have consequences. (i.e., if a character closes a door, they must open it to leave the room again, and so on). Often a second, lower-level check of structural elements is done again at this stage, i.e., character consistency, plot elements, document flow, etc.

The editor may double-check these elements during the copy-editing process because the manuscript or document may have undergone significant rewrites following the initial structural edit. Alternatively, the composition may have come to the copy edit stage straight from the draft, bypassing the structural modification altogether. In this case, copy editing will cover structural and copy editing elements. But, again, we promise you an editing and proofreading service.

3. Proofreading (This is the last read-through, checking to ensure the final manuscript is ready for publication/presentation/distribution.)

Most writers do poorly editing themselves, even if they are excellent editors when working on other people’s work.

All manuscript editing should be done on double-spaced paper, with a red pen, even if the editor will enter those changes into the manuscript using a ‘track changes option’.

A copy-edit is editing your work for grammar, style, punctuation and clarity. While a copy editor or a proofreader can do their work in one sentence simultaneously, a complex editor should read the whole book once before trying to edit it.

It is important to note that manuscript editing isn’t a substitute for proofreading a finished copy. Proofreading is the final stage, where typos are pointed out and corrected before publishing.

How do you deliver work that is as free from mistakes as possible?

There are some techniques that you may use.

* The first is to read it out loud. In that way, you do not rely on the eye alone to send information to the brain. The ear also kicks in. It is very effective in identifying awkward sentence construction.

* Some people use a technique called read in reverse. You start at the end of the sentence and read word for word backwards. It’s a way of taking the brain’s tendency to correct out of the equation. The technique is handy for finding spelling mistakes.

* A common mistake writers make is to finish writing and immediately go through the work to ensure everything is correct. The information is just too fresh in your mind. Let’s wait a day or two before you edit your work.

* A constructive tip many established writers will give you is to cut and not to add. As their writing flows along, most writers drone on a bit. So when editing your work, look for unnecessary sentences and words. Please don’t hesitate to take them out.
